Accountant Partner Terms

Version 1 · Last updated 1 June 2026

1. About these terms

These terms are an agreement between you (the accountant, bookkeeper or firm using an Instant-Estimate accountant login) and Instant-Estimate ("we", "us"). They cover your partner login, seeing and working on your clients' books, filing with HMRC on a client's behalf, and the referral fees we pay you. By ticking the box when you sign up, or when you accept an updated version, you agree to them. If you sign up for a firm, you confirm you're allowed to accept them for the firm.

2. Who can join

  • You must be a practising accountant, bookkeeper or tax adviser, aged 18 or over, and give us accurate details.
  • You confirm you hold any registration, supervision (including anti-money-laundering supervision) and professional indemnity insurance your work requires, and you'll tell us if that changes.
  • We may ask for proof of your practice or professional body membership, and can decline or close a partner login at our discretion.

3. Your login and your team

  • Keep your login details private and switch on two-step sign-in where you can. You're responsible for everything done with your login.
  • If your firm uses team logins, the firm admin is responsible for who is added, and for removing people who leave.
  • Tell us straight away at support@instant-estimate.uk if you think your login has been misused.

4. Seeing your clients' books

  • A client chooses to share their books with you, and can switch that off at any time. When they do, your access stops.
  • You'll only use what you see (receipts, bank transactions, invoices, mileage, NI numbers, UTRs and other details) to provide your services to that client.
  • You're an independent controller of the personal data you use for your own services, and you'll handle it in line with UK data protection law (UK GDPR and the Data Protection Act 2018), keep it secure, and not share it with anyone who doesn't need it.
  • Don't download or keep more than you need, and delete copies you no longer need when your engagement ends, unless the law requires you to keep them.

5. Filing with HMRC for a client

  • A client can give you permission to send their quarterly updates, and to prepare their year-end final declaration, using their own HMRC connection. They can withdraw it at any time.
  • Before you send anything you must check it's complete and accurate. You type your own password each time you send, which confirms you've done this.
  • A final declaration is only sent to HMRC after the client has checked and approved it themselves. You must not approve or declare on a client's behalf.
  • You remain responsible to your client for the professional work you do, and for having your own engagement letter and authority to act. Instant-Estimate is the software only and doesn't give tax or accounting advice.
  • HMRC filing is provided as it is. We'll do our best to keep it running, but we're not responsible for HMRC's systems being unavailable, or for penalties caused by figures you or the client sent.

6. Referral fees

  • You earn the fees shown in your dashboard when a tradesperson joins with your link or code and pays for Pro. The amounts and rules can change, and we'll tell you before they do.
  • Fees aren't earned for your own account, for accounts you control, or for payments that are refunded, charged back or found to be fraudulent. We may hold or take back fees in those cases.
  • We pay monthly to the bank details you give us. You're responsible for your own tax on what you earn.

7. Promoting Instant-Estimate

  • Be honest. Don't make claims about the app, prices or tax savings that aren't true.
  • Only email people you're allowed to contact under UK marketing rules (PECR), and respect anyone who asks you to stop.
  • You may use our name, logo and the flyers we give you only to promote Instant-Estimate. Don't pretend to be us or bid on our name in online ads.

8. Ending these terms

  • You can close your partner login at any time by contacting us.
  • We can suspend or close it, and withhold unpaid fees, if you break these terms, act unprofessionally, or put clients or us at risk. Otherwise we'll give you 30 days' notice.
  • When your login closes, your access to clients' books ends. Fees already earned under these terms will still be paid.

9. Liability

  • Nothing in these terms limits liability that can't be limited by law, such as for fraud or for death or personal injury caused by negligence.
  • Otherwise, we aren't liable for indirect or consequential loss, lost profits, or losses from your professional work, and our total liability to you in any 12 months is limited to the referral fees we paid you in that period.
  • You'll cover us for claims caused by you breaking these terms, misusing client data, or sending incorrect returns.

10. Changes and law

  • We may update these terms. We'll email you a summary of the changes and ask you to accept the new version next time you sign in.
  • These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. Questions? Email support@instant-estimate.uk.
